Job Overview:
Perform a range of administrative duties from processing department payroll to maintaining employee files and recording and processing union benefit reports and work orders, while serving as a partner with NYRA’s facilities team. The ideal Administrative Assistant is a problem-solver with great communication skills and attention to detail. The Administrative Assistant is responsible for office coordination services within the Saratoga Facilities Office and often the greater Race Course property, especially in the off-season. The role requires technical skills, judgment, and initiative over a broad range of situations and alternatives.
Essential Functions:
• Manages PTO time request and submits weekly time keeping for the Saratoga Facilities department;
• Assists with new hire paperwork and employee on-boarding process;
• Processes Work Orders;
• Performs office duties: word processing, email, scheduling as required;
• Provides administrative support to Facilities Department including preparation of presentations, bids, correspondence;
• Manages the receipt of all Saratoga golf cart and distribution for Organization;
• Ensures all assigned invoices are processed accurately and on time;
• Understands NYRA’s Purchasing Policies and Procedures;
• Obtains/negotiates pricing from vendors, reviews potential contracts and liaise with all required departments to ensure on time and full execution;
• Inputs purchase requisitions, for needed products and services;
• Performs other duties as assigned.
Qualifications:
• Education: Associate Degree or equivalent.
• Experience: 1 to 3 years of experience; office work.
• Other: Strong proficiency with MS Word, Excel and Outlook; Must be able to work in a diversified atmosphere;
Summary of Physical Requirements and Work Environment:
This is primarily a sedentary role with no special physical demands.
Pay Range / Salary: $24.00 - $24.96 per hour
